Two institutional best practices (As per NAAC Format):
The SPCOP College is practicing many numbers of best practices regularly. Among which college will consider only the following best two practices so as to improve the functioning of academic and administrative system to achieve better educational objectives.
1. Academic Monitoring :
The main objective of this practice is to monitor and check over the regular academic related activities like designing and implementation of time table, academic calendar, distribution of workload, preparation of teaching plan for theory and practical, alternate workload adjustment, sessional syllabus display and syllabus completion records, maintaining of daily and monthly student’s attendance, checking of result analysis, mentoring system, feedback system, conduct of continuous assessment, performance appraisal of teaching and non- teaching staff, compilation of individual academic file records. The practice aim to monitor overall teaching learning process effectively and ensuring of students are getting updated pharmacy knowledge and development of skills among them to sustain in the global competitive pharma field.
A) Academic Monitoring :

2. Objectives of the Practice
Objective of the practice is to monitor and check over the smooth and regular working of academic activities like, academic time table, academic calendar, workload distribution, preparation and approval of teaching plan, conduct of regular academic hours, maintaining of daily performance record, monitoring of daily and monthly students attendance, conduct of mentoring system and feedback once in semester, hands on training to the students. Remedial classes, class test, assignments, solving question paper, providing question bank to theslow learner. Objective of the practice is to monitor continues teaching learning process ensuringstudents are getting updated pharmacy knowledge and skills
3. The Context
The context of this practice fabricates the need to determine the teaching learning process as per predefined objectives and ensuring of desired outcomes.
Educational objectives can be achieved by continues monitoring of;
1) Transparency in the academic schedule to both staff and students.
2) Allocation of proper time table to individual subject as per prescribed syllabus.
3) Marking of daily student’s attendance in attendance register.
4) Feedback system from student’s and internal external stakeholders regarding facilities, faculty, parents, curriculum help in resolving and improving the academic system.
5) Office orders describing assigned responsibilities to the concerned faculty and its accomplishment at the end of academic year ensure achieving targeted work.
6) Variations in the continuous assessment modules class wise describe updation of students knowledge and skills.
7) Display and filling of sessional syllabus and syllabus completion record prior sessional.
Semester pattern curriculum challenged us to cover multiple task in academics within prescribed time with continuous tracking process.
4. The practice
Continuous academic monitoring is done by means of academic monitoring committee comprising of academic in charge, class teachers, student representative, head of department.
1) After getting directions from the principal academic incharge prepare time table in concern with the teachers and assign work load. Communication of the same to the teachers and students by displaying time table on notice board and circulation among the teachers.
2) Academic calendar is prepared and displayed after getting inputs from the members of academic monitoring committee.
3) Academic term session and teaching plan is prepared by the individual teacher for the assigned subject.
4) Every teacher supposed to enter conducted lecture practical in daily performance record and attendance is noted in the attendance register.
5) For the betterment of continuous academic monitoring we have implemented ERP system.
6) Leave and workload adjustment is done through mutual understanding and its entry in to the leave application form.
7) Before every sessional and university examination academic monitoring committee calls teachers and asked for filling of syllabus completion records. In the case of less numbers than mandated hours corrective action is taken to conduct extra hours.
8) Students are assigned to work undertaken for content beyond syllabus viz, collection of journal notes, market survey, herbarium preparation.
9) In consultation with the subject teachers the examination department prepares the schedule for the continuous assessment and being displayed for the students.
10) Every meeting in the continuous tracking is reviewed by the principal.
11) Faculty feedback from the students is obtained at end of every semester and score index of performance is conveyed to the teachers. Action taken report after the summarized score decides appreciation consultation for the improvement and encouragement of teachers.
As per recommendation of University Grant Commission “Higher Education in India; Issues Concerns and New Direction” academic monitoring and involvement of students in the process and seeking their feedback is recommended. In the practice of our education system follows the objectives of these recommendations. Uniqueness of the practice lies in active participation of students in student’s council, anti-ragging committee, internal complaint committee, grievance redressal, alumni committee, college development committee and extracurricular activities.
5. Evidence of Success
Overall quality of teaching learning process is improved by the regular academic monitoring and continuous tracking system. Teaching plans of theory practical has helped students and teachers to prepare well in advance. Daily entry of lectures and practical in daily performance record and students attendance helped teachers to complete syllabus within prescribed time.Common identification of students with poor academic performance as slow learners is advised to attend extra hours to improve their performance. Crucial role of continuous feedback system from the students, teachers and related stakeholders helped to overcome the lacunas in the curriculum and facilities and to enhance the performance of the teachers. Academic results of the college are always comparative to the university however UG programme is affiliated permanently under Savitribai Phule Pune University (SPPU). Teachers and students have received awards and rewards in curricular and co-curricular in house and outside competitions. Teachers are actively involved in research related activity and filed two Indian patents, authored two books and more than 237 research publications. One of our student was received Gold Medal from SPPU at UG level.
6. Problems Encountered and Resources Required
The semester pattern curriculum and continuous mode assessment prescribed by the SPPU spares very less time to the teachers and students for co-curricular and extra-curricular activity. Centralized admission procedures implemented by the government for the first year and lateral entry students shows direct influence to the number of days in the academic term. Regular sessional examinations, continuous mode assessments, improvement sessional, re-sessional examinations affect syllabus delivery in depth of knowledge to the students. Few students observed frighten of feedback and mentoring sessions and found conservative minded but later they become opened as once they knows about its importance and benefit to them.
7. Notes
It is very important to ensure adherence of activities of curriculum with respect to the vision, mission and program objectives of the institute. Proper defining and planning of academic and related activities affirms their timely implementation. Continuous monitoring and keeping of documentary evidences are required for assurance of practical implementation and its review. This has helped to inculcate the sense of accountability and punctuality among the teachers and students. Since there is involvement of every part of the institution starting from the office bearers to the students and stakeholders along with various administrative committees creates transparency in the work and face to face discussion and mutual understanding leading to healthy working atmosphere. It has concluded that end point monitoring has no scope but continuous monitoring gives excellence in teaching learning process therefore it is recommended for all institutions to implement the same.
B) Decentralization of administrative system :

2. Objectives of the Practice
Robust and hierarchical organizational structure with their well-defined roles and responsibilities at each level explores the decentralization of administrative system in the institute practice. The objective of the practice is to encourage active involvement of individual faculty in the decision making streamline and to achieve the democracy and identifying minor problems associated and their timely resolution. Accountability in the regular curriculum becomes habitual and gives better outcomes.
3. The Context
Administrative decentralization helps to transfer the responsibility fully or in parts for the planning and development, finance and expenditure management, technical advisory, representation of the parent institute to others, management and operation of certain function. Decentralization plays a pivotal role in the regular practice that improves quality of the education.
The context of decentralization of administrative system is as mentioned below:
1) Conflicts and doubts between portfolio assignment is avoided
2) Decision making authority will be distributed amongst the subordinate.
3) Expectation of faster decision making ability
4) Defined roles and responsibilities, enhance the commitment and dedication to the work assigned
5) Assigned task becomes punctual and with improved sensitivity.
6) Teaching learning process is improved with added experimentation work
7) Encouragement and involvement of students and faculty to the frontier level
8) Overall accountability is enhanced periodically in timely manner
Challenging task is to select the proper and correct personal for the delegation of power on the basis of past experience, skills and execution ability
4. The Practice
Decentralization in the practice is performed by identification of administrative level and selection of right person for the right job. Identification and allocation of decentralized work is done by the principal The skill, experience initiative ability is considered deciding the committee in-charge and related members. Volume of committee and limit of members is dependent of nature of task to be performed.
Committee in-charge and members are communicated and clarified of their responsibility. Clarity and transparency in the entire process is maintained. Freedom to decide inclusion of student members and students representatives is solely decided by committee in-charge. It becomes more easy to performed and coordinate the activity because of clearly and transparent defined objectives.
Sometimes temporary committees are being formed for the execution of work at the stage. Changeover in the committee members and reshuffling is being done whenever required. Accomplishment letter is produced by the head of every administrative level at the end of academic year and processed further for improvement.
Uniqueness in the context of India Higher Education
As per recommendations of the University Grant Commission, “Higher Education in India:Issues, Concerns and New Directions” released in December 2003, participation of teaching faculty in a democratic process, students involvement in governance, co-ordination of activities, encouraging accountability at various levels of decision making and decentralization is recommended. The practice being followed at our institute is unique and very much in tune with these recommendations.
5. Evidence of Success
1) Defining of portfolio and steering committee at the start of every academic year with illustrated responsibilities achieves the targeted work.
2) Distribution of specific job orders and defined duties resulted in smooth conduct of events.
3) All activities were observed to complete in timely bound manner.
4) Job accomplishment analysis predicts about the errors, constrains and issues occurred during execution of work. It has helped to plan and distribute the administrative work to the right person to get work done at the right time with minimum number of errors.
5) Decentralization of administrative power has helped to reflect the vision, mission, goals, and objectives among the all members of hierarchical committee.
6) Improvement in decision making and problem solving ability was observed.
6. Problems Encountered and Resources Required
Problems encountered are as follows:
1) Financial constrains occasionally observed to hamper the rapid renewal and implementation of upgraded technology.
2) Effective time management impedes was found due to continuous tracking of allied activities.
3) Teachers in today’s date should have to play versatile role of and educator motivator entertainer, counselor rather a tutor.
4) Many times it was observed that single faculty is working parallel as administrator that becomes challenging to execute and coordinate the said responsibility.
5) Selection of students becomes difficult when students lies a step behind to lead the activity, however proper counseling and sparing time between students is essential.
The resources required are:
1) Conduct of training programs for the teachers and students is required to handled the responsibility assigned.
2) Requirement of financial resources to update the present technology knowledge and infrastructure and related facilities from time to time.
7. Notes
1) This practice has helped at every stage of work with smooth, proper and timely functioning and execution of the activities.
2) It has helped to upgrade the managerial skills and knowledge of teachers and students.
3) Portfolios and steering committee members with defined roles and responsibilities helped to achieve the objective easily.
4) Selection of right person for the right job becomes crucial and encouragement of democracy by consideration of inputs of all he members of execution committee.
5) Decentralization practice has also helped the central chief administrator i.e. Principal to control and monitor over the all activity.
6) As accomplishment letters are discussed at the end of years it becomes easy to overcome the problems and planning in the fourth coming year.
7) It is a fruitful suggestion to the education institution those have not implemented this practice however, it is of the great value addition work to the institution those have implemented.
